This policy covers the Her Frontier Dinners application — the questionnaire at quiz.herfrontier.ai and everything that follows from it: your profile review, your membership, and your dinner invitations. It's written to be read, not to be survived.

Once you're a member, our main privacy policy also applies to the members area, and our dinners terms and code of conduct govern the dinners themselves. Where the two privacy policies overlap, this one is more specific and wins.
One thing worth saying plainly: Her Frontier curates and matches the table — the dinner itself is a private gathering of independent adults at an independent venue. What that means for responsibility is set out in our dinners terms, section 09.
01What we collect
- Your answers to the questionnaire — the city and chapter you're applying to, your age group, the industry you're closest to, why you're joining, the kind of women you want at your table, your social energy, the languages you'd be comfortable using at dinner, and the interests you select. We use these to match you to a table.
- Your name and email address — your first name (so we know what to call you) and your email (so we can send your access link and dinner invitations).
- A link to a public profile — LinkedIn, Instagram, or a personal website, which you provide at the verification step. We look at what's publicly visible on that profile to confirm it belongs to a real person and meets our admission criteria. We keep the link you gave us and the outcome of the review. We don't copy your posts, followers, connections, or photos into our systems.
- Your member profile and photo — once you're approved, the profile you fill in inside the members area: what you do, a few lines about yourself, what you can offer and what you're looking for, plus the profile photo you choose to upload. We use these to introduce you to the women at your table.
- Payment and membership data — handled by Stripe. We never see or store your full card number. What we keep in our own systems is a charge reference and amount, your plan, renewal date, and subscription status; limited card metadata (such as the last 4 digits and card brand) stays inside Stripe, where we can view it.
- Dinner participation — which dinners you book, attend, or cancel, and any dietary or accessibility notes you choose to give us so we can book the right table.
- Technical and funnel data — the page and session identifiers in your questionnaire link (the
fpidandfsidvalues in the URL), how far you got through the questions, your IP address, browser and device type, and where you came from (referral or campaign parameters).
We don't ask for special-category data — health, religion, political opinions, sexual orientation. A dietary or accessibility note can sometimes reveal something in that category (an allergy, a religious diet). If you choose to share one, that is your explicit consent for us to use it for exactly one thing: arranging that table. We don't infer anything from it, we pass it to the restaurant only as an anonymised headcount note ("one vegan at the table"), we delete it after the dinner it was given for, and you can withdraw it at any time by emailing us. Please don't send us documents, ID scans, or anything else we haven't asked for.
02Women-only admission & how we verify
Her Frontier Dinners are women-only. That's the point of the room, and it's the reason we verify. Being clear about it: applying means telling us you're a woman, and we review the public profile you link to confirm your application is genuine.
- Who's welcome — all women, including trans women. Verification is about confirming a real person behind a real profile, not about policing how anyone looks or presents.
- Who reviews it — a person on our team, within about 24 hours. There is no automated scoring or algorithmic decision, and no profiling that produces legal effects for you. If we can't verify a profile, we email you and you can reply with more context or ask us to look again.
- What we record — the link you submitted, the date, and the decision. Nothing else from the profile.
- Legal basis — performing our agreement with you (we can't seat you without it) and our legitimate interest in keeping the community safe and genuine for every woman at the table.
- If we decline — we cancel and refund any payment you've made for a membership you can't use. See our dinners terms for refunds.
Under Portuguese and EU law, gender is not a "special category" of data, but we handle it carefully anyway: it's visible only to the person doing the review, it isn't shared with other members, and it's never used for advertising.
03Why we use it & legal basis
- Matching you to a table — using your questionnaire answers to seat you with women at a compatible stage and interest. Legal basis: contract. This is the core of what you're paying for.
- Verifying your profile — as described above. Legal basis: contract and legitimate interest (community safety).
- Running your membership — access to the members area, dinner invitations, receipts, reminders, cancellations. Legal basis: contract.
- Marketing emails — news about other Her Frontier programming. Legal basis: consent if you're not yet a member, legitimate interest once you are. Every message has an unsubscribe link, and unsubscribing never affects your dinner access.
- Improving the funnel — aggregate statistics on where applicants drop off, which we use to fix confusing questions. Legal basis: legitimate interest.
- Advertising measurement — seeing which campaigns bring women who actually join. Legal basis: consent where required by cookie rules (see section 07).
- Safety and conduct — if we receive a report about behaviour at a dinner or in the community, we process the report and what's needed to act on it: warnings, suspension, removal, and — where the law requires it — cooperation with authorities. Legal basis: legitimate interest (the safety of every woman at the table) and legal obligation.
- Security, fraud prevention, and legal compliance — abuse checks, tax and accounting records. Legal basis: legitimate interest and legal obligation.
If you start the questionnaire and don't finish, we may hold what you entered so you can pick up where you left off, and — if you gave us your email — send you at most a short reminder. You can opt out of that in one click or by emailing us.
04Who we share with
We use a small number of processors, each contractually bound to handle your data on our instructions:
- FunnelFox — hosts the questionnaire at quiz.herfrontier.ai and stores your answers as you submit them. Privacy policy.
- Stripe — payment processing and subscription management. Privacy policy.
- Neon — database hosting in the EU/UK for your member account and membership data. Privacy policy.
- Hetzner — server hosting in Germany (EU) that runs our application. Privacy policy.
- Google — website analytics and delivery of our transactional emails. Privacy policy.
- Meta — the Meta Pixel, used to measure our ads. Privacy policy.
- MailerLite — sending our newsletter and marketing emails. Privacy policy.
- Telegram — hosting our private member community chat, which you join voluntarily. Privacy policy.
What other members see. Before a dinner, we share a short introduction of each guest with the other women at that table — typically your first name, your photo, what you do, and a line about what you're working on. We never share your email address, your phone number, your age, your verification link, or your payment details with other members. Restaurants receive only a booking name, headcount, and — where needed — anonymised dietary notes.
We don't sell personal data, and we don't share it for other companies' marketing.
05Data transfers
Some of our processors are based in the United States or otherwise process data outside the EU/EEA. Those transfers rely on EU Standard Contractual Clauses or equivalent safeguards provided by each processor. Where data is hosted in the United Kingdom, the transfer is covered by the European Commission's adequacy decision for the UK.
06How long we keep it
- Questionnaire answers — while you're a member, plus 24 months, so we can keep matching you well if you come back.
- Unfinished or unsuccessful applications — 12 months, then deleted.
- Verification link and decision — while you're a member, plus 24 months, so we don't have to re-verify you.
- Payment records — 7 years, required by Portuguese tax and accounting law.
- Dinner attendance history — while you're a member, plus 24 months.
- Dietary and accessibility notes — deleted after the dinner they were given for.
- Safety and conduct reports — as long as needed to keep the community safe, up to 5 years.
- Funnel and analytics data — up to 14 months.
- Server logs — up to 30 days.
You can ask us to delete your data sooner, and we will — except where we're legally required to keep it, like payment records.
07Cookies & tracking on the questionnaire
The questionnaire uses:
- Essential storage — a session identifier that remembers your answers between questions. Without it the questionnaire can't work.
- Analytics — to see which steps people drop off at.
- Advertising — the Meta Pixel, to measure which ads lead to real applications.
Where we ask for cookie consent, you can decline analytics and advertising cookies and still complete your application — nothing about your seat depends on it. The checkout step is served by Stripe and uses their own cookies under Stripe's privacy policy.
08Your rights
Under GDPR and similar laws, you have the right to:
- Access a copy of the data we hold about you, including your questionnaire answers.
- Correct anything that's wrong.
- Delete your data, subject to legal retention requirements like tax records.
- Port your data to another service.
- Object to processing based on legitimate interest.
- Withdraw consent at any time where processing is based on consent.
- Lodge a complaint with your data protection authority — in Portugal, CNPD.

09Age
Her Frontier Dinners are for adults. We don't knowingly collect data from anyone under 18, and dinners are held in venues that serve alcohol. If you believe we hold a minor's data, contact us and we'll delete it.

We'll post updates here with a new "Last updated" date, and email members about anything material.
